1. Prepare the list
| A: SNO | B: NAME | C onward (optional) |
|---|---|---|
| 1 | ARUN KUMAR | Class, department, blood group |
| 2 | PRIYA S |
2. Name the photos
Name every photo with the serial number: 1.jpg, 2.jpg and so on. Leading zeros such as 001.jpg are fine. Put all photos in one folder. Ask the school or HR team to do this when they export from their system; it saves hours.
3. Design the card
- Card size: 85.6 x 54 mm for the common CR80 size, portrait or landscape.
- Add a frame for the photo, plus text for the name and serial number.
- Group the card so it moves as one object.
4. Fill and lay out
By hand, you would duplicate the card for each person, place each photo into its frame (PowerClip), type the name, and arrange the cards on a sheet. For 500 students that is a day's work.
With AJILE PI: open the card template, pick the Excel file and the photo folder, choose the sheet size (A3 by default), and run. Each photo is centre-cropped to the frame's shape before it is placed, cards are laid out in a grid with crop marks on their own layer, and one Ctrl+Z undoes the whole run.
5. Export
Export one JPG per person, named by serial number, for digital records or card printers, and print the A3 sheets for cutting.
Questions
How should the photos be named?
By the person's serial number from the Excel list, for example 1.jpg, 01.jpg or 001.jpg. Any of these can be matched.
Do I need Excel installed?
Not with AJILE PI, which reads .xlsx files directly. Print Merge-based methods may need Excel or a CSV.
How many cards fit on an A3 sheet?
For standard CR80 cards (85.6 x 54 mm) with crop marks and gaps, usually 16 to 20 per A3 sheet depending on spacing and orientation.
